All-in-One Contractor Software: CRM to Payment (2026)

Yes. Several construction platforms put CRM, estimates, invoicing and online payments in one app, including Projul, Buildertrend, JobTread, Jobber, Houzz Pro and Contractor Foreman. What separates them is whether a lead turns into an estimate, a job, an invoice and a payment inside one record, or whether you still copy information between screens. None of them fully replace your accounting software or your payroll service.

We make Projul, so it’s on this list. We’ve tried to be straight about where the other tools are a better fit.

What does tool sprawl look like for a typical contractor?

Most contractors didn’t plan their software stack. They added one app every time something broke. A common setup looks like this:

  • A spreadsheet or notebook for leads. Who called, what they want, when to follow up.
  • A separate estimating tool, or Excel templates and Word proposals.
  • QuickBooks for invoices, retyped from the estimate.
  • A payments app for cards, with the invoice number copied in by hand.
  • A scheduling app or whiteboard for crews and subs.
  • Group texts for everything else: photos, change requests, “are we still on for Tuesday?”

Each tool works fine on its own. The problem is the gaps between them. A client asks for a change on site, your foreman texts you, you forget to price it, and it never makes the invoice. A lead fills out your website form on Friday night and nobody enters it until Wednesday. Your crew’s hours sit on paper, so you don’t know you’re over on labor until the job is done.

What should “all-in-one” actually mean?

A lot of software calls itself all-in-one because it has a long feature list. That’s not the test. The test is whether one record follows the job from the first phone call to the final payment.

Here’s what that looks like in practice:

  1. Lead. The inquiry lands in your CRM with the source, contact info and notes.
  2. Estimate. You build the estimate from that same record, using templates, and the client signs it online.
  3. Change orders. Changes are built from the original estimate, signed by the client, and added to the budget. Projul’s estimates and change orders work this way.
  4. Schedule. The approved scope becomes tasks on the schedule, and your crew sees them on their phones.
  5. Time and costs. Crew hours from time tracking and material costs post to the job, so budgeting and job costing show real margin while the work is happening.
  6. Invoice and payment. You invoice from the estimate and change orders, and the client pays by card or ACH from a link on the invoice. Projul’s payment processing updates the payment status automatically.
  7. Client visibility. The homeowner checks the schedule, photos, invoices and selections in a client portal instead of calling you.

If any step means exporting a file or retyping numbers, that’s a seam where money leaks out.

What won’t an all-in-one tool replace?

Be skeptical of any vendor that says you can cancel everything else. Here’s what most construction platforms, including Projul, don’t do:

  • Full accounting. Projul handles project financials: budgets, job costs, invoices and payments. It does not replace QuickBooks. It syncs leads, customers, estimates, invoices and payments to QuickBooks Online or QuickBooks Desktop, so your bookkeeper still works in QuickBooks for the general ledger, taxes and financial statements.
  • Payroll. Projul does not run payroll. It tracks crew hours with GPS, lets a foreman or PM approve them, and exports clean time data to QuickBooks or CSV for whatever payroll service you use. See our construction payroll software guide for options.
  • Your website. Projul doesn’t build websites. It gives you a lead capture form you embed on the site you already have, so new inquiries go straight into the pipeline. Jobber and Houzz Pro do include a website, which matters if you don’t have one yet.
  • Two-way texting with customers. Projul gives each project its own message channel for your team and lets clients message you through the portal, and it can send an automatic email or text when a new lead comes in. If texting back and forth with customers is how you run every job, look closely at Jobber, which lists two-way texting as a core feature.

So the realistic goal isn’t one app. It’s one system for running jobs, plus accounting and payroll.

What does tool sprawl actually cost?

Subscriptions are the cost you see. The cost you don’t see is the office time spent moving information between apps, and the work that never gets billed. Here’s an illustrative example for a 6-person remodeling company. Your numbers will differ.

CostSeparate toolsOne connected system
Software subscriptions (CRM, estimating, payments, scheduling, time clock)5 apps at an assumed $60 to $100/mo each: $3,600 to $6,000/yrOne subscription: for example, Projul Core at $4,788/yr for up to 10 users
Re-entering data (estimates into invoices, timesheets into payroll, leads into the CRM)4 hours a week at $35/hr: about $7,280/yrMuch less, since data carries from step to step
Unbilled change ordersTwo $1,500 changes missed a year: $3,000Changes signed and added to the invoice
Accounting softwareStill neededStill needed

The subscription line may come out close to even. The re-entry time and missed billing are where the real money is. That’s why the “lead to payment in one record” test matters more than the price of any single app.

How do the main all-in-one options compare?

Projul

Projul covers the full lead-to-payment workflow in one record, with flat-rate pricing and no per-user fees. Plans are Starter at $2,388 per year (up to 3 users), Core at $4,788 (up to 10), Core+ at $7,188 (up to 20) and Pro at $14,388 (unlimited users), billed monthly or annually. You get a free trial after a demo, or you can buy online from the pricing page.

Be aware of what’s on which plan. Starter includes lead management, estimating, invoicing and payment processing, scheduling and time tracking. CRM tools, change orders and e-signatures start on Core. Job costing, the client portal and QuickBooks Online sync start on Core+.

Better fit elsewhere if: you need a built-in website, two-way customer texting is central to your workflow, or you only want one piece, like estimating.

Buildertrend

Buildertrend lists lead management and CRM, estimates and takeoff, change orders, selections, invoicing, online payments, a client portal, scheduling, a time clock, budgets and email marketing, with QuickBooks and Xero integrations. Its pricing page doesn’t publish prices; you get a custom quote, and it includes unlimited users (Buildertrend pricing, November 2026).

Better fit if: you’re a larger builder running complex, multi-project operations, or your books are in Xero.

JobTread

JobTread says all features are included: CRM and lead management, estimating and change orders, invoices and online payments, customer portals, scheduling, time tracking, and budgeting and job costing. It integrates with QuickBooks Online and Gusto. Pricing is a base fee plus a charge per internal user, and customer, vendor and subcontractor portal users are free (JobTread pricing, November 2026). Check their pricing page for current rates.

Better fit if: you’re a small team that wants detailed budgets and is comfortable with per-user pricing.

Jobber

Jobber is field service software. It covers client management, quotes with approvals and follow-ups, invoicing, online and in-person payments, scheduling with route optimization, a Client Hub, two-way texting, job costing, and a free website on all plans. Full marketing tools are a paid add-on. It integrates with QuickBooks Online (not Desktop) and Gusto (Jobber, November 2026). Check their pricing page for current rates.

Better fit if: your work is mostly short, repeat or service jobs where routing, texting and fast quotes matter more than multi-week project scheduling.

Houzz Pro

Houzz Pro combines business software with the Houzz marketplace. It lists lead management, takeoffs that convert to estimates, online estimate approval, payment requests and online payments, a client dashboard, scheduling, time and expense tracking, a website with a custom domain, and marketing on Houzz. It integrates with QuickBooks Online (Houzz Pro, November 2026). Check their pricing page for current rates.

Better fit if: you’re a remodeler or designer who wants Houzz leads and a website in the same subscription.

Contractor Foreman

Contractor Foreman packs a lot of modules into one platform: estimates, change orders, invoicing including AIA-style billing, a client portal, Gantt scheduling, a geofenced time clock, job costing, and two-way QuickBooks Online and Desktop sync. A leads manager comes on mid-tier plans, and it’s priced per company in tiers by user count (SoftwareConnect review, updated April 2025). Check their pricing page for current rates.

Better fit if: budget is the top priority and you want a wide module list. Some reviewers describe its CRM as limited.

How do you choose?

Start with how you win and run work, not the feature list:

  • Map your current stack. Write down every app, spreadsheet and group text you use from first call to final payment. Circle every spot where someone retypes information.
  • Test the handoffs in a demo or trial. Turn a lead into an estimate, add a change order, invoice it and take a test payment. Count the clicks and the retyping.
  • Price it for your real team. Include office staff, PMs and field crew. Per-user pricing and flat-rate pricing come out very differently as you grow.
  • Plan for what stays. Keep your accounting software and payroll service, and confirm the sync works the way your bookkeeper needs.

Frequently Asked Questions

Is there one app that handles CRM, estimates, invoicing and payments for contractors?
Yes. Several construction platforms, including Projul, Buildertrend, JobTread, Jobber, Houzz Pro and Contractor Foreman, cover lead tracking, estimates, invoicing and online payments in one system. The difference is how well those pieces connect, so a lead becomes an estimate, a job, an invoice and a payment without retyping anything.
Does all-in-one contractor software replace QuickBooks?
Usually not. Most construction platforms handle the project side (estimates, change orders, job costing, invoices) and sync to QuickBooks or another accounting tool for the general ledger, taxes and financial statements. Projul syncs with QuickBooks Online and QuickBooks Desktop rather than replacing them.
Does all-in-one contractor software include payroll?
Rarely. Most platforms track crew hours and send them to a payroll tool. Projul exports approved time to QuickBooks or CSV for payroll. JobTread, Jobber and Contractor Foreman list integrations with Gusto. Plan on keeping a separate payroll service.
What should all-in-one contractor software include?
At minimum: lead and customer tracking, estimates with e-signatures, change orders, scheduling, time tracking, invoicing, online card and ACH payments, a client portal and job costing, all tied to the same project record so information carries from the first call to the final payment.
How much does all-in-one contractor software cost?
Pricing models vary: flat rate per company, a base fee plus per-user charges, or a custom quote. Projul is flat rate with no per-user fees, from $2,388 per year for up to 3 users, with monthly or annual billing. Price each option for your actual team size and the features you need.
